Based in Columbus, Ohio, Advance Heating and Cooling provides air conditioning and furnace installation, repair and service for clients throughout central Ohio. Offering year-round 24/7 emergency service in a competitive environment, it’s essential that the company delivers on their promise.

“We realized that cloud-based technology was the best way to make our business processes more efficient, and maximize profits,” says Shawn Nyahay, CEO at Advance Heating and Cooling. “We have both residential and commercial customers, so we wanted a solution could handle both.”

However, making the leap from paper to the cloud wasn’t easy. “We were using a field service automation company, but they weren’t able to get their programming done in a timely manner, and took a long time to sync with the other software that we were using,” Nyahay says.

An Internet search led him to FieldLocate, the cutting-edge mobile dispatch system designed specifically for the service industry. Its comprehensive paperless reporting, accounting and database features give users the flexibility they need to manage their business quickly and efficiently.

Among these features, Nyahay starts with the dispatch board. “It gives me a good idea of what jobs are coming up, as well as helps schedule jobs that do not have time slots assigned to them. It can connect with a specific technician or multiple technicians to assign jobs, or alert them of a new job or a change in a scheduled job, which they can see on the mobile app.” 

The dispatch capabilities in FieldLocate run the gamut from alerts, location tracking and job status to GPS routing. It also works as a time sheet to ensure that work is being done. Along with keeping the technicians honest about their work, Nyahay says they like having the price book handy in the app. “We can e-mail an estimate and have the customer sign off on it, which saves us from legal ramifications if the customer believes that the job was not adequately completed.” 

But he reserves his highest praise for the accounting features. “Automated scheduling and the easy sync with QuickBooks eliminates double entry of invoices in our accounting system,” he says. “And we’ve cut way down on paper costs because it’s completely paperless. We can simply e-mail invoices to customers—and the customers like that, too. We can get them copies of past invoices, and we even have the ability to text the customer when we’re on route to their site.”

Nyahay estimates that Advance Heating and Cooling is saving approximately “40-60 hours a week” thanks to the convenience FieldLocate provides. “No time is wasted,” he says. “The technicians get jobs faster, and we can track the job status so they can immediately go to the next job. Jobs are completed more quickly, so we can schedule more jobs per day with the saved time.”
